Before service is confirmed
Minimalist Greens discusses project requirements, site conditions, design preferences, proposed deliverables and scheduling directly with each client before confirming an engagement. The nature of landscape design services may vary, from an initial consultation or planting plan to broader outdoor-space planning and related garden improvements. Any quoted price, deposit, payment schedule, cancellation condition or other financial arrangement should be clearly agreed through direct phone or email communication before work begins.
Clients are encouraged to review the proposed scope carefully and ask questions about included services, expected deliverables, project stages and any expenses that may be charged separately. Written correspondence confirming the agreed arrangements can help both parties maintain a clear record of the project terms. Refund requests are reviewed in accordance with the applicable agreement and any mandatory consumer protections.
Cancellations and schedule changes
If you need to cancel, postpone or reschedule a consultation, design meeting or other agreed service, contact Minimalist Greens as soon as possible using the contact details provided below. Advance notice helps us review the project schedule, adjust reserved time and determine whether any planned activities or third-party arrangements can be changed without additional cost.
Eligibility for a refund of a deposit or prepaid amount depends on the terms agreed for the specific project, the timing of the cancellation, the work already completed and any reasonable non-recoverable costs incurred for the engagement. Where only part of a project has been completed, any potential refund may take account of the value of completed work and expenses already committed. Any applicable cancellation rights provided by law remain unaffected by this policy.
Requests to change a confirmed appointment or project milestone will be considered in light of availability and the work schedule. A requested change is not confirmed until the revised arrangements have been acknowledged directly. If a delay is caused by weather, site access restrictions, material availability or other circumstances affecting outdoor work, the parties may discuss a reasonable revised schedule.
Completed design work and project concerns
If you believe a completed service does not correspond to the agreed scope, contact us promptly and explain the issue in sufficient detail. Include the relevant project stage, the deliverable or service concerned and any supporting information that may help clarify the matter. For landscape design projects, this could include notes about a planting plan, proposed layout, material recommendations or another agreed design component.
Minimalist Greens may review the original agreement, project correspondence and completed work to understand the concern. Depending on the circumstances, we may clarify the intended scope, correct an identifiable error, discuss a reasonable adjustment or propose another appropriate resolution. Any additional work that falls outside the original agreement may require a separate estimate and approval before it proceeds.
Design preferences can be subjective, and living plants and outdoor environments are affected by factors such as weather, soil conditions, drainage, sunlight and ongoing maintenance. A difference in personal preference or an outcome influenced by conditions outside the agreed scope does not automatically establish entitlement to a refund. Each concern will be considered individually, subject to the agreed terms and applicable law.
Non-refundable items and limitations
Amounts attributable to services already completed, design materials already prepared, consultations already provided or other work performed under the agreed scope may not be refundable, except where required by law or agreed otherwise. Similarly, costs already committed to approved project arrangements, purchased materials or authorized third-party services may be excluded from a refund where those costs cannot reasonably be recovered.
Additional charges may apply where a project requires work beyond the original scope, repeated site visits due to unavailable access, substantial changes requested after approval or other services not included in the initial agreement. Such charges should be discussed with the client before the additional work is undertaken. No part of this policy is intended to exclude rights or remedies that cannot lawfully be excluded.
Refund review and processing
To request a refund review, contact us with your name, the relevant project or consultation details, the payment concerned and a concise explanation of the reason for your request. Providing the date of the original agreement and any relevant correspondence can help us review the matter efficiently. Please do not send complete payment card numbers, passwords or other sensitive financial credentials in an email.
We will review the information available and may contact you if further clarification is needed. Where a refund is approved, the method and timing of the payment will depend on the original payment arrangement, the relevant provider and any applicable legal requirements. Processing times may vary, and a refund should not be considered approved until its terms have been confirmed directly.
